Privacy Policy

The short version. We collect what you type into our forms and basic information about how the site is used. We use it to reply to you, run the pilot and improve the site. We don't sell your information, share it for advertising, or use advertising cookies.
Who we are
InboxToERP ("InboxToERP", "we", "us") runs inboxtoerp.com and the InboxToERP service, based in Irvine, California. Questions about this policy: hello@inboxtoerp.com.
What we collect
Information you give us
- What you enter in our forms: your work email, company, which ERP you use, roughly how many vendors send you price sheets, what you'd like help with, and anything else you write.
- Emails you send us.
- If you book a call or pay for a pilot, the scheduling or payment provider collects the details you enter there, under its own privacy policy. We receive the booking or payment details we need, such as your name, email and the time you chose. We never see your full card number.
Information collected when you use the site
- Pages you view, how long you spend on them, how far you scroll, and whether you play the video or use the demo.
- The website or link that brought you here, including any campaign tag in the link.
- Approximate location (city, region and country) and the name of the network you're connecting from (for example an internet provider or a company network). Our hosting provider derives these from your IP address.
- Device type (phone, tablet or computer).
- A random identifier stored in your browser, used to count visits and tell new visitors from returning ones. It isn't linked to your name unless you send us a form.
We don't store your full IP address. We keep a one-way, salted hash of it to count visits and to stop abuse such as spam form submissions.
Information from pilot customers
If you join the pilot, you'll send us business documents such as vendor price sheets, item lists and pricing rules. Please send business information only. Don't send personal information about individuals beyond ordinary business contact details, and don't send payment card numbers, government IDs or health information. Your pilot agreement may add terms for this data.
How we use it
- To reply to you and set up calls or pilots.
- To provide the service: reading your documents, matching items, calculating margins and producing import files.
- To understand which pages and messages are useful, and to improve the site and the service.
- To keep the site secure and prevent abuse.
- To meet legal obligations.
Automated processing and AI
The service uses automated tools, including artificial intelligence models run by third-party providers, to read documents and suggest item matches and prices. These providers process your documents on our behalf, to deliver the service to you. Automated output can contain mistakes; see our Terms of Use. We don't use automated processing to make decisions about individuals that have legal or similarly significant effects on them.
Who we share it with
We share information only with service providers that help us run InboxToERP, under their own terms. These are:
- Cloudflare, for hosting, security, analytics storage and email delivery.
- Google Fonts, for the site's fonts. Your browser requests the fonts from Google, which receives your IP address.
- Our scheduling and payment providers, when you book a call or pay.
- For pilot customers, the AI and cloud providers that process documents on our behalf.
We may also disclose information if the law requires it, to protect our rights or the safety of others, or as part of a merger or sale of the business. We don't sell personal information, and we don't share it for cross-context behavioral advertising.
How long we keep it
- Site usage data: up to 13 months.
- Form submissions and emails: up to 24 months after our last contact, unless you become a customer.
- Pilot documents: for the length of the pilot plus 90 days, unless your agreement says otherwise.
You can ask us to delete your information sooner.
Your choices and rights
Email hello@inboxtoerp.com to ask what we hold about you, correct it, or delete it. We'll reply within 45 days, and may need to confirm it's you first.
California residents. Under the California Consumer Privacy Act, you have the right to know what personal information we collect and how we use it, to request deletion or correction, and not to be treated differently for using these rights. You also have the right to opt out of the sale or sharing of your personal information. We don't sell or share it, but we treat a Global Privacy Control signal as an opt-out request. We don't collect sensitive personal information as the law defines it. You can use an authorized agent to make a request for you.

Security
We use reasonable safeguards, such as encrypted connections and restricted access to our data. No method of storing or sending data is completely secure, so we can't guarantee absolute security.
Children
InboxToERP is a business service and isn't directed to children. We don't knowingly collect information from anyone under 16.
Changes to this policy
If we change this policy, we'll update the date at the top. If a change is significant, we'll also note it on the site or email customers.
